Keep the full statement
Work from a complete statement or export rather than deleting personal rows from the only copy. Preserve the original and create a working copy to identify business activity. That leaves a clear trail when a charge needs to be revisited.
Label what you know
- Identify business customer payments and the records supporting them.
- Mark purchases made for the business and attach receipts or invoices.
- Identify transfers between accounts and amounts contributed or withdrawn by the owner.
- Flag mixed-use or uncertain spending with a note explaining the situation.
Do not force every payment into an expense
A credit card payment, loan payment, transfer, and customer refund can require different treatment. The correct entry also depends on your business structure. Keep enough detail for a bookkeeper or preparer to determine how to record the transaction.
Create a cleaner process going forward
Use a dedicated business account where appropriate and keep receipts in one agreed location. If you accidentally pay personally, record the date, vendor, business purpose, and receipt immediately. Ask how owner-paid expenses should be recorded for your entity.
Prepare for the cleanup conversation
Tell SV how many accounts are mixed, how many months need review, and what source documents are available. You do not need to submit the statements with the initial consultation request. A small sample can be reviewed later through an agreed document-sharing process.
